Answers to common questions about selling on Gamvt — shipping, payouts, insurance, damage claims, cancellations, and fees. These summaries follow the Artist / Seller Agreement and related policies; where anything differs, the full documents control.
01
Shipping window & payouts
Does the 7-business-day shipping window include Stripe payout time?
No. Shipping and payout are separate. You must hand the artwork to the carrier within seven business days of payment (unless your listing states a different window) — you do not wait to receive your payout before shipping. The flow is: payment confirmed → you ship with carrier and tracking → the buyer confirms receipt (or the 14-day fallback runs) → Gamvt releases your payout → Stripe and your bank process it.
When does Gamvt release my payout?
When the buyer confirms they received the artwork, Gamvt releases your payout right away. If the buyer neither confirms receipt nor reports a problem, Gamvt automatically releases your payout 14 days after the artwork is marked shipped. An active dispute or a reported problem (damage, non-delivery, wrong item, authenticity, fraud, or a refund under review) pauses the release while Gamvt looks into it. Once released, the payout may show as processing until your Stripe funds are available; Stripe and your bank determine the exact date the money lands.
How should I pack and ship a piece?
Use packaging suited to the artwork’s medium, size, fragility, and value, with tracking and photos of the piece and the packing process. The
Shipping & Packaging Guide gives step-by-step standards by medium — paintings, framed and glazed work, works on paper, and fragile 3D — plus when to use professional packing or a crate.
02
Insurance & lost or damaged shipments
Is shipment insurance required?
Yes for any sale of
$1,000 or more: you must insure the artwork for at least its full sale value and submit proof to Gamvt before you ship. A sale of
$5,000 or more also requires a quick pre-shipment review with Gamvt. Below $1,000, full-value protection is strongly recommended but not required. A declared value on a carrier label is not, by itself, insurance — confirm the artwork is actually covered in transit.
Read the full Insurance Guide →What if I ship a $1,000+ piece without the required coverage?
You can’t mark the order shipped until proof is submitted, and if you ship without qualifying coverage you bear any unrecovered loss and may be in breach of Gamvt’s shipping requirements.
What happens if the artwork is lost in transit?
You bear the transit risk. Once Gamvt and you reasonably determine the shipment is genuinely lost (not just delayed), the buyer is refunded without waiting for your carrier or insurance claim to pay out. You then pursue recovery through the carrier or insurer, and Gamvt supports the claim with order and transaction records.
The piece was properly packed and insured, but the carrier damaged it — what happens?
The buyer receives the remedy warranted by the damage. You remain responsible for the shipment and seek recovery from the carrier or insurer. Gamvt supports your claim where it reasonably can but is not the insurer and can’t guarantee the claim is paid. If a carrier or insurer denies your claim, the buyer’s remedy still stands and you remain responsible for any unrecovered amount.
03
Damage claims & evidence
How long does a buyer have to report visible damage?
Three calendar days after delivery is confirmed or recorded, for visible shipping damage, a wrong-item delivery, or other readily identifiable condition issues. Non-delivery should be reported promptly after the expected delivery date. Material misdescription, authenticity, and ownership problems may surface later and are reviewed on their own facts rather than cut off by the three-day window.
How does Gamvt tell real transit damage from buyer’s remorse?
The buyer must provide reasonable evidence — photos of the artwork, the damage, and the interior and exterior packaging — and keep the packaging while the claim is reviewed. Gamvt compares that against your pre-shipment condition and packing photos and tracking, and may reject a claim that reflects remorse, an accurately disclosed condition, damage after delivery, or a refusal to provide evidence. Keeping clear pre-shipment and packing photos is your best protection.
Is an unboxing video mandatory for a claim?
No. It’s encouraged for higher-value works, especially if the outer packaging looks damaged, but it is not a required condition for a legitimate claim.
04
Delivery risk & buyer-caused issues
When does my shipping responsibility end?
At carrier-confirmed delivery to the address the buyer supplied, provided you followed Gamvt’s shipping requirements. You’re generally not responsible for damage the buyer causes after delivery, or for theft or loss after valid delivery. Authenticity, ownership, and title obligations are separate and can survive the three-day inspection window.
What if the buyer gave the wrong address, refused delivery, or rerouted the package?
If you shipped correctly to the address on the Gamvt order using the approved method, you generally aren’t financially responsible for loss or added cost caused solely by the buyer’s wrong address, refusal, failure to collect, or unauthorized rerouting. Never change a delivery address just because a buyer messages you — route any address change through Gamvt.
Can Gamvt require signature confirmation or professional handling?
Yes — based on value, size, fragility, destination, or other risk factors. Gamvt won’t usually require a specific carrier or handler; you can choose providers that meet Gamvt’s standards.
05
Response times & delays
What if I can’t meet the shipping deadline?
Notify Gamvt within one business day of realizing you can’t meet the window, with a realistic revised date — a specific date you expect to meet, not “as soon as possible.” The buyer can then choose to accept the delay or cancel for a refund.
How quickly must I respond when Gamvt asks about an active order?
Within two business days. If you don’t respond for four business days about an active order, Gamvt may treat you as unresponsive and take steps to protect the buyer, including cancelling and refunding the order and applying selling restrictions.
What if I need to cancel an order before shipping?
Contact Gamvt — don’t just abandon or unilaterally cancel the order. A genuine one-off inability to fulfill can be handled and the buyer refunded. Repeated or unjustified cancellations, or cancelling because you regret the agreed price, may lead to selling restrictions.
06
Buyer cancellations & final sale
Can a buyer cancel just because the piece hasn’t shipped yet?
Not automatically. A pre-shipment cancellation is a request that needs approval from both Gamvt and you, and the order stays valid until it’s approved. Gamvt will usually approve a genuine pre-shipment cancellation, but it may be declined if you’ve already incurred material fulfillment costs. Gamvt can also cancel independently for fraud, payment, legal, or marketplace-risk reasons.
What refund does the buyer get on an approved pre-shipment cancellation?
A full refund — the artwork price, any shipping charged, the Gamvt Buyer Service Fee, and any tax collected.
Can a buyer return an artwork after shipment because they changed their mind?
Generally no. Original artwork is final sale after shipment for buyer’s remorse — for example deciding it doesn’t suit the room, overlooking the listed dimensions, or minor appearance differences from photography or lighting. This doesn’t affect legitimate damage, wrong-item, misdescription, authenticity, or ownership claims.
07
Payout holds
When can Gamvt pause a payout?
When there’s a reasonable basis to investigate a material issue tied to the transaction, buyer protection, fraud or risk, or Gamvt’s legal and payment obligations — for example suspected fraud, non-delivery, damage, authenticity concerns, refunds or chargebacks, or a Stripe verification issue. A breach doesn’t have to be proven before a temporary investigative hold.
How long can a payout hold last?
For an investigation within Gamvt’s control, up to ten business days. A hold can run longer when it depends on an external process — a Stripe review, a chargeback or payment dispute, a carrier or insurer investigation, or a legal requirement. Gamvt keeps you reasonably informed.
Can one disputed order hold all of my payouts?
Ordinarily no. A hold is normally limited to the affected order or an amount reasonably related to the exposure. Broader, account-wide holds are reserved for genuine account-level risk, such as suspected systematic fraud or multiple simultaneous complaints.
When am I responsible for a negative balance?
For losses attributable to your sale, fulfillment, or breach — non-shipment, inadequate packaging, wrong-item delivery, misdescription, authenticity or ownership problems, valid seller-attributable refunds, or uninsured transit loss. You’re not automatically responsible for losses caused solely by Gamvt’s own errors.
08
Fees, refunds & Stripe
How do I set up Stripe so I can get paid?
You connect a Stripe account from your dashboard’s “Set up payments” page — Stripe securely collects your identity and bank details, and payouts land in the account you choose. If you hit a snag, the
Stripe Onboarding Playbook (PDF) walks through every screen step by step, with fixes for the common snags.
Who pays Stripe’s fees?
For charges settled on your connected Stripe account, Stripe’s processing fees — and its dispute or chargeback fees — come from that account. Stripe does not return its processing fee when a transaction is refunded.
What happens to Gamvt’s commission if an order is fully refunded?
Gamvt returns its commission — it doesn’t keep commission on a sale that is completely unwound. On a partial refund, a proportional part of the commission is returned.
What about a pure payment-fraud chargeback when I did everything right?
By Stripe’s default, a chargeback on your connected-account charge is debited from your balance. But where the loss is solely from third-party payment fraud (for example a stolen card) and you fully complied with Gamvt’s listing and fulfillment requirements, Gamvt may cover or reimburse the loss at its discretion, case by case. This is a discretionary accommodation, not a guarantee, and it doesn’t cover losses from your own breach.
Who pays for packaging, shipping, insurance, and professional handling?
You do. Anticipate these costs and build them into your artwork price and/or shipping charge before listing. Gamvt doesn’t reimburse you because proper fulfillment cost more than you expected.
09
Marketing & your content
What does Gamvt’s promotional license allow?
By accepting the Seller Agreement, you allow Gamvt to use your artist name, bio, listing images, and descriptions to operate and promote Gamvt — the website, social media, email, digital advertising, artist spotlights, and press. Ordinary marketplace promotion doesn’t need case-by-case approval. Unusual uses, like making you the named face of an unrelated commercial partnership, are considered separately.
If I opt out, how fast is my content removed from marketing?
Within 30 days of a valid request, Gamvt removes your content from active and future-facing marketing where reasonably practicable. Materials already distributed — sent emails, prior social posts, press coverage — don’t have to be recalled, and records needed for completed orders, legal compliance, and backups may be kept.
10
Selling restrictions
When might Gamvt restrict or suspend my selling?
Case by case, based on severity and history — repeated failure to ship, repeated cancellations or non-fulfillment, not responding about active orders, inadequate packaging, failing to obtain required shipment protection, repeated substantiated buyer complaints, material misrepresentation, or fraud. Serious misconduct can justify immediate action; an isolated minor issue usually won’t.
